Green Of Trabzone – TOUR CANCELLATION, REFUND, PAYMENT, AND GENERAL TERMS AND CONDITIONS

These terms apply to all day trips, overnight cultural tours, and international tours offered by Green Of Trabzone.

Upon completing the reservation and payment process, the participant is deemed to have fully and unconditionally accepted these terms without exception.

1. RESERVATION AND PAYMENT TERMS

1.1 Air-Inclusive Tours (Package Programs)

For air-inclusive tours, the remaining balance must be paid by the participant no later than 11 days before the tour begins.

Reservations for which payment is not made within this period will be automatically canceled, and seat guarantees will be revoked.

1.2 Land-Based (Non-Flight) Accommodation Tours

For land-based cultural tours, the remaining balance must be paid in full no later than 3 days before the tour begins.

Reservations for which payment is not made are considered invalid.

1.3 Day Trips

For day trips, the remaining balance is collected no later than 1 day before the trip.

If payment is not made, the reservation becomes invalid.

2. MINIMUM PARTICIPANT NUMBER AND TOUR CANCELLATION

2.1 Minimum Participant Criteria

Day trips: 4 people

Batumi tours: 8 people

Accommodation-inclusive tours: 24 people

2.2 Tour Cancellation by the Agency

The agency may cancel tours if the required number of participants is not met:

Day trips: 1 hour in advance,

Batumi tours: 12 hours in advance,

Cultural tours: 48 hours in advance

provided that notice is given in advance.

2.3 Refunds for Agency-Initiated Cancellations

In cases of cancellation by the agency, the full amount is refunded in full.

3. CANCELLATION BY THE PARTICIPANT – REFUND POLICY

3.1 Land Tours (No Air Travel)

Up to 30 days prior: Full refund

30–15 days prior: 50% deduction

Less than 15 days prior: No refund.

3.2 Air-Inclusive Tours

There is no right to cancel, receive a refund, or make changes for air-inclusive tours.

In cases of delays or cancellations caused by the airline, the Montreal Convention (The Hague Protocol) and the relevant airline’s rules apply.

Green Of Trabzone cannot be held responsible for changes made by the airline.

3.3 Promotional Tours

No cancellations, refunds, or date changes are permitted for any campaign, promotional, or discounted tour sales.

4. ACCOMMODATION, TRANSPORTATION, AND ITINERARY CHANGES

4.1 Hotel Change

The agency reserves the right to make changes to the hotel, provided it is within the same region, to an equivalent or higher-category hotel due to operational necessities.

In such cases, the participant has no right to request a refund or compensation.

4.2 Vehicle Change

The vehicle type is determined based on the number of participants.

The agency may change the vehicle provided it remains within the same category.

4.3 Guiding and Tour Itinerary

Due to weather conditions, road closures, security measures, or force majeure, the guide may be required to make changes to the tour itinerary.

5. DISRUPTION OF THE TOUR ITINERARY AND RECURRENT DELAYS

5.1

In the event that participants engage in behavior that disrupts the tour itinerary, fail to comply with the guide’s and travel agency’s instructions, or experience recurrent delays;

The tour program will continue without the participant,

The participant is responsible for reaching the next stop on their own,

Therefore, they cannot claim any refund or compensation,

Any additional transportation, accommodation, meal, etc., expenses incurred are the participant’s responsibility.

By making a reservation, the participant is deemed to have definitively accepted this provision.

6. FORCE MAJEURE

The following situations are considered force majeure, and the agency’s liability is waived:

Earthquakes, floods, avalanches, blizzards

Epidemics

War, terrorism, civil unrest

Decisions by public authorities

Road closures, severe weather conditions

Technical and operational necessities arising from the supplier

In such cases, the program may be partially implemented, modified, or canceled; the participant hereby accepts these changes in advance.

7. IDENTIFICATION AND TRAVEL REQUIREMENTS FOR INTERNATIONAL TOURS

A photo ID or passport is mandatory for tours to Georgia and Azerbaijan.

A driver’s license is not valid.

A notarized consent form is required for children under 18.

8. ENFORCEMENT

These provisions constitute mandatory, binding, and accepted contractual terms for all participants purchasing tour services from Green Of Trabzone.

Every passenger making a reservation is deemed to have accepted all terms at the time of booking.
